How To: Manage People with Jujama Lite

Managing people with Jujama Lite is similar to the full version of Jujama, but with some features removed to streamline the process. In the admin system, "People" includes those categorized as attendees and those marked as speakers. People can be added to the system via bulk import or manual addition. People must be added to a company, so companies should be set up first. For instruction on how to add a company, click here.

Manually Adding People

  1. Under Manage Event Content > People > Manage People, click the "Add Person" button.
  2. Fill in the form with at least the required information, including first name, last name, company, user name, primary email. Additional information can be filled in as necessary. 
    • Company: If the person's company has not yet been added, enter the name of the company, then click the "Add" button. This will create and add a company record in the system.
  3. After completing the form, click the "Submit" button to add and save the person.

Profile Pictures

It is recommended that profile photos are cropped square and sized to at least 400 x 400 pixels. Profile photos can be formatted as JPG or PNG and should be no larger than 2MB. Photos can be uploaded by editing the person's profile or by clicking the "Upload" link under the thumbnail image.

Marking a Person as a Speaker

To manually mark someone as a speaker, when creating or editing their profile, check the box next to "Is Speaker". This will automatically include this selected person in the Speaker list within the desktop and mobile apps. This also allows speakers to be tagged to an agenda session.

Managing People

Each person added to the system is considered a user and will have the required information saved to their account, including a user name, and will be given a temporary password to start. There are many actions a user can complete in the app, which can be tracked under each person's profile in admin. Many of these actions are for assisting people with any app questions they may have, especially when onsite at an event. Options and actions under each person's profile can be found under Manage Event Content > People > Manage People. A specific person can be found using the search criteria on the left. Below is a list of the options and actions under a person's profile with a description of each.

  • Edit: Choosing edit will allow you to edit a user's profile. This will also display and allow you to change the person's user name or email address.
  • Send Message: This will allow the admin to send an email directly to the person. The email will come from the name of the admin currently logged in.
  • View Messages: This will display all message activity that is associated with this user.
  • Generate Onetime Password: Clicking this item will generate a new password for a user, which is a common request while on-site at an event. The person's user name and a temporary 6-digit password will display. This information will also automatically be sent via email to the person. It is important to note that once this is clicked, the user's old/current password will no longer work.
  • Print Profile: This selection will bring up a system print dialogue box allowing you to print the person's profile.
  • Usage Report: The usage report is helpful in determining if a particular user has been active within the desktop or mobile apps, noting the access date, IP address, time, duration, and pages visited.
  • View Personal Schedule: The personal schedule selection will display the personal schedule that the user has created by adding agenda items to their schedule. This schedule can be viewed, printed, emailed, or modified from this screen.
  • Inactivate: When people are added to the system, their profiles are automatically marked as "Active". To remove people from the system and/or disable their account, a user can be marked as "Inactive". This can be toggled as necessary.
  • View Email Log: The email log is helpful is determining if a particular user has received system-generated emails.
